JOB TITLE: HEAD OF OPERATIONS

Reports to: Executive Director

PRIMARY PURPOSE:

To manage overall operations for JA Eswatini, and is responsible for the effective and successful management of human resources, finances and the different programs of the organization, aligning to JA Worldwide principles and guidelines, thus creating jobs and income opportunities for the youth of Eswatini. Serve as a company representative on regulatory issues. Ensure alignment to all organizational policies and procedures to fulfill the strategies goals accordingly.

DUTIES AND RESPONSIBILITIES

  • Board Administration and Support Supports operations and administration of Board by advising and informing Board members and Executive Director.
  • Program, Product and Service Delivery- Oversees design, delivery and quality of programs, recommends yearly budget for Board approval and prudently manages organization’s resources within those budget guidelines according to current laws and regulations
  • Human Resource Management — Provides oversight in management of the human resources of the organization according to authorized personnel policies and procedures that fully conform to current laws and regulations.
  • Responsible for all department managers and supervisors, with review/approval responsibility for all operations employees. Run a safe, injury/accident free workplace.
  • Community and Public Relations — Assures the organization and its mission, programs, products and services are consistently presented in strong, positive image to relevant stakeholders
  • Fundraising — Oversees fundraising planning and implementation, including identifying resource requirements, researching funding sources, establishing strategies to approach funders, submitting proposals and administrating fundraising records and documentation
  • Monitoring and Evaluation – coordination and development of program objectives, results frameworks and related M&E components of all active programs. Support ongoing program monitoring by ensuring timely collection, compilation, analysis and reporting of data. Prepare M&E sections of quarterly, semi-annual, and annual reports by compiling, presenting and ensuring the quality and consistency of data presented in said reports. Provide technical support for the M&E components of all new business development proposals, and ensure these aspects are built into the design of all new program initiatives.

QUALIFICATIONS AND SKILLS 

  1. A degree in Business Administration, or Business leadership, Development Studies or any other relevant fields. A Masters Degree will be an added advantage.
  2. Five or more years’ experience in senior management.
  3. Transparent and high integrity leadership.
  4. Ability to effectively communicate the organization’s mission to donors, volunteers and the overall community.
  5. Demonstrated ability to oversee and collaborate with staff.
  6. A history of successfully generating new revenue streams and improving financial results.
  7. Strong financial management skills, including budget preparation, analysis, decision making and reporting.
  8. Strong M&E, written and oral communication, public speaking ability and work ethic with a high degree of energy and team building skills.

JOB TITLE: IT OFFICER

Location: Manzini JA Offices

Reports to: Head of Operations

PRIMARY PURPOSE:

The IT officer is responsible for analyzing and creating computer information systems, maintenance and upkeep of all software applications, especially all data related to the business of the organization.

DUTIES AND RESPONSIBILITIES

  • Develop and manage JAE website; Social Media Platforms; JA Application; Biz.Net and any other developments in this aspect.
  • Maintain and create backup data for the database system and for internal servers of the organization; provide technical expertise and support for all departments regarding applications and information system issues and
  • Responsible for maintaining, troubleshooting and keeping the organization’s telecommunication systems smoothly operating with minimal issues to report (phones, webinars, internet fax etc.).
  • Prepare budget for the IT department and oversee budget spending accordingly; support of all computer desktops, laptops, equipment and servers to maintain their integrity and support and service of product development and research of IT related matters, especially outside networking.
  • Liaise and brainstorm regarding issues like LAN, internet connections like dial up networking and remote dial up.
  • Evaluate new software and hardware making sure they comply with standards and regulations; keep track of inventory and keep inventory of licenses and track compliance as well and cooperate will other department heads of concerns regarding software, and hardware conflicts.
  • Along with other fellow specialists, are responsible for construction of the technology skeleton; are responsible for IT guidelines for employees related to the complete IT infrastructure including using computers, peripheral devices, the internet/intranet, telephony and internal servers.
  • Ensure that the IT policy is in accordance with the organization’s policy and is responsible for maintaining the technology standards while providing for its technical needs.
  • Ensure support system to graphic designing; JAE branding with provision of templates for uniformity.
  • Support the online education program for the office with technical expertise f Develop IT policies and share to senior management for approval and implementation
  • Ensure that the incubation centre is well set up and managed accordingly where IT services are required.
  • Write and submit reports timely and meet all deadlines.

QUALIFICATIONS AND SKILLS

1. A bachelor’s degree in computer science or a related field.

2. Frye or more years’ experience in the same position.

JOB TITLE: BUSINESS DEVELOPMENT SERVICES COORDINATOR

Location: Manzini JA Offices

Reports to: Business Development Services Manager

OVERALL JOB FUNCTION: Responsible for the implementation and coordination of all projects targeting Out Of School Youth to ensure timely delivery of project outcomes and budget management. The Coordinator acts as a link between the youth and the organization for a broad and active alumni database.

KEY PERFORMANCE AREAS:

  • Act as the liaison person between the program facilitators, mentors and other stakeholders to ensure smooth flow of the overall program implementation, including timely and high quality training, mentoring and coaching.
  • Conduct needs assessment for the project beneficiaries in liaison with the program facilitators and provide detailed report 5 days after the needs assessment has been concluded.
  • Monitoring of project beneficiaries on a weekly basis and provide weekly reports with the aim to identify and manage any upcoming challenges , advising the Programs Manager/ED on any challenges that need special attention.
  • Conduct bi-weekly monitoring site visits to the program beneficiaries and provide updated reports due on the 5th of each month.
  • Assist with additional participant management tasks as they may arise.
  • Capturing the lessons learnt for purpose of future programs on a monthly basis.
  • Develop at least 2 profiles of each group per month and at least 10 profiles by end of the program for development of success stories. Liaise with the Marketing Officer to publicize at least one success story/program progress every 2 weeks.
  • Capture and manage database for the program updated by the 5th of each month.
  • lead the planning and logistics for key events.
  • Provide weekly and monthly progress reports due on the 5th of each month as well as end of project report
  • Liaise with the program mentors and monitor the mentorship schedules to ensure that the sessions are carried out consistently, providing weekly and monthly reports by the 5th of the month.
  • In consultation with the BDS Manager prepare the out of school budget and monitoring and evaluation plans.
  • Analyze out of school youth financial reports and business plans to enhance their access to capital and growth.
  • Assist in the coordination and development of program objectives, results frameworks and related M&E components of OOSY program

QUALIFICATIONS:

  • Degree in Commerce, Agriculture Economics, Business Management or related field
  • At least 3 years’ experience in program/project management and youth development
  • Demonstrated ability to coordinate multiple projects
  • Good interpersonal skills
  • Ability to work under minimal supervision
  • Good written and verbal communication skills

JOB TITLE: BUSINESS DEVELOPMENT SERVICES MANAGER

Location: Manzini JA Offices

Reports to: Head of Operations

OVERALL JOB FUNCTION: Responsible for the management of all projects targeting Out Of School Youth. The BDS Manager will work with staff members to execute and manage annual budgets and procedures to ensure the success of all projects in the department.

KEY PERFORMANCE AREAS:

  • Develop/Review program charter, log frames, program budgets and work-plans annually
  • Lead the team in recruiting and implementing BDS projects successfully
  • Develop a strategy to monitor and manage Out Of School Youth in JA programs, monitor program implementation, document challenges and lessons learnt.
  • In liaison with the Marketing and Communications, team ensures documentation of program success stories through the relevant channels; at least one success story profiled per month.
  • Relationship management between JAE and stakeholders, including the target group of young people.
  • Promote innovation and creativity among the youth as they develop and grow their business ideas, plan and execute a high level business fares, secure sponsorships ensuring participation of all stakeholders.
  • Act as the key person and develop relationships with volunteers, and other stakeholders, timely submission of quality reports to sponsors as per specific requirements and timelines.
  • Ensure development/consistent review of program material to meet the changing needs of the target group, and ensure high level training of Alumni and mentors

QUALIFICATIONS

  • A minimum of a Bachelor of Commerce, Business Administration, Economics and Management or any related field.
  • Experience in managing a UN or USAID or similar funded project
  • 3-5 years of work experience in a management position
