About the assignment
The Data Collector will accurately abstract existing clinical and programme information for clients aged 0-24 years who were initiated on ART during the audit period. Data will be drawn from CMIS, APMR/other electronic records and paper ART files. This is a confidential records review; it involves no client interviews and no specimen collection.
Key responsibilities
- Complete the standardised training and competency check on the protocol, abstraction tool, confidentiality and urgent-clinical-flag procedures.
- Accurately capture demographic, ART, viral load/HIVDR, TB/TPT, AHD and clinical-outcome data using the approved electronic tool; use authorised paper forms only when required.
- Cross-check electronic information against paper records where data are missing or inconsistent, and document unresolved discrepancies without making assumptions.
- Perform routine completeness and consistency checks, correct queries promptly and participate in supervisory spot-checks or record re-abstraction.
- Report urgent unresolved clinical findings immediately through the agreed supervisor and facility pathway, while maintaining strict confidentiality.
- Submit daily progress updates, safeguard assigned devices and records, and work flexibly across allocated facilities.
Minimum qualifications, skills and attributes
- Tertiary qualification and previous experience in data capture or clinical-record abstraction.
- Basic IMAI/HIV training; familiarity with ART records, CMIS or APMR will be an advantage.
- Proficiency in Microsoft Word and Excel and confidence using electronic data-collection devices.
- Ability to speak, read and write English and siSwati.
- Strong attention to detail, accuracy, organisation, teamwork and integrity when handling sensitive health information.

About the assignment
The Regional Field Supervisor will coordinate and support data-collection teams in one region, maintain productive relationships with facilities, monitor field progress and ensure that work is completed safely, ethically and in accordance with the approved audit protocol.
Key responsibilities
- Coordinate collector deployment, facility schedules and daily workplans with the Study Coordinator, regional teams and facility focal persons.
- Provide regular on-site supportive supervision; monitor attendance, workload, progress and adherence to the protocol and approved procedures.
- Guide collectors on record navigation and workflow challenges, and work with the Regional Data Manager to resolve data-tool or device problems.
- Receive and consolidate daily/weekly progress reports and transport logs, identify delays and recommend practical team reallocation where needed.
- Ensure that confidentiality, device security and urgent-clinical-flag procedures are followed and that concerns reach the authorised facility team promptly.
- Escalate operational, performance, safeguarding, ethical or protocol concerns to the Study Coordinator and perform other related duties assigned.
Minimum qualifications, skills and attributes
- Tertiary qualification and previous experience in data collection/data capture, field coordination or supervision.
- Ability to lead and support teams working across multiple facilities, manage competing priorities and maintain accurate progress records.
- Proficiency in Microsoft Word and Excel; experience with electronic data-collection tools is desirable.
- Ability to speak, read and write English and siSwati.
- Excellent leadership, communication, administrative, organisational and problem-solving skills, with strong attention to detail and confidentiality.
- Experience in HIV programmes, health-facility record review or regional health activities will be an advantage.

About the assignment
The Study Coordinator will lead the day-to-day implementation of a national retrospective audit of HIV treatment records for children, adolescents and young adults aged 0-24 years. The audit will assess the viral load and HIVDR cascade, ART regimen and formulation quality, and selected clinical outcomes across public and private-not-for-profit ART facilities in all four regions.
Key responsibilities
- Translate the approved protocol into a detailed implementation plan, field schedule, team assignments, logistics plan and reporting calendar.
- Coordinate four Regional Field Supervisors and 20 Data Collectors and maintain effective liaison with national and regional Ministry teams and participating facilities.
- Lead standardised training, tool pre-testing and competency checks covering the protocol, data-abstraction tool, data quality, confidentiality and urgent-clinical-flag procedures.
- Monitor implementation and productivity daily; resolve operational barriers, adjust deployments where necessary and keep fieldwork on schedule.
- Work with the principle investigator to oversee completeness and consistency checks, query resolution, spot-checks/re-abstraction, secure backups and the data-cleaning log.
- Ensure compliance with ethical approval, confidentiality undertakings, secure data handling, safeguarding requirements and the approved process for escalating urgent clinical findings.
- Document and escalate protocol deviations, data-security incidents and unresolved technical or operational concerns to the Principal Investigator.
- Convene regular implementation meetings, prepare concise progress reports and support dataset finalisation, analysis, facility feedback, report writing and dissemination.
Minimum qualifications, skills and attributes
- Bachelor’s degree in public health, epidemiology, health sciences, health information, biostatistics or a related field; a relevant postgraduate qualification will be an advantage.
- Demonstrated experience coordinating multi-site health research, clinical audits, programme evaluations or large field-data-collection activities.
- Experience supervising multidisciplinary teams and coordinating with government, regional and health-facility stakeholders.
- Sound knowledge of research ethics, confidentiality, data-quality assurance and electronic data-collection processes.
- Strong Microsoft Word and Excel skills; experience with CMIS/APMR and statistical software will be an advantage.
- Knowledge of HIV programmes and paediatric/adolescent HIV treatment and monitoring is strongly desirable.
- Excellent leadership, planning, communication, problem-solving and technical-report-writing skills; ability to work in English and siSwati and travel nationally.
