Purpose of the Position
The Supply Chain Coordinator will effectively manage the Supply Chain function in line with World Vision’s procedures to support the timely implementation of programmes and projects.
The role focuses on improving, simplifying, and standardising supply chain processes, controlling costs, and ensuring procurement activities contribute to achieving World Vision’s Child Well-Being Outcomes.
Key Responsibilities
1. Business Requirements
- Understand departmental business requirements and apply them in daily operations.
- Ensure procurement needs are fulfilled in accordance with established business requirements.
2. Planning
- Advise internal customers and obtain approval for modifications to original requests.
- Facilitate timely resolution of issues affecting requestors and communities.
- Identify alternative suppliers for materials and services not under contract.
- Work with Logistics to ensure safe delivery and receipt of ordered materials.
- Resolve delivery and supplier-related conflicts.
- Proactively plan sourcing activities to meet customer purchasing requirements.
3. Strategic Sourcing
- Conduct market assessments and supplier pre-qualification for assigned categories.
- Manage RFQ/RFP processes, including price surveys and baseline methodologies.
- Lead negotiations for assigned categories.
- Supervise sourcing activities for field offices and assistance work.
- Prepare comprehensive Procurement Committee submission documents.
- Facilitate Purchasing Committee meetings and maintain proper documentation.
- Ensure strategic sourcing procedures are followed.
4. Supplier Contract & Relationship Management
- Maintain accurate supplier and contract records.
- Monitor contract close-outs, renewals, and re-tendering.
- Ensure suppliers understand contractual conditions and performance indicators.
- Identify and resolve or escalate contract-related issues.
- Analyse supplier performance and coordinate improvements.
- Manage supplier relationships across assigned categories.
5. Procurement Execution
- Review incoming Purchase Requisitions and verify specifications.
- Conduct sourcing activities where required.
- Update supplier information and release requisitions for approval.
- Follow procurement policies when making supplier award decisions.
- Manage Purchase Order change requests.
- Consolidate documentation required for supplier payments.
- Ensure smooth day-to-day procurement operations in compliance with policies.
6. Data Management, Analysis & Reporting
- Collect and analyse organisational data to support decision-making.
- Support the development of supply chain performance metrics.
- Conduct spend analysis to support strategic sourcing and supplier management.
- Prepare supplier bid response summaries for Procurement Committee decisions.
- Track procurement performance and savings against targets.
- Ensure supervisors have relevant information for decision-making.
7. Policies, Processes & Procedures
- Conduct procurement activities in accordance with approved policies and procedures.
- Advise management on procurement challenges, risks, and impractical guidelines.
- Collect feedback on procurement processes and recommend improvements.
- Review Partners/Sub-Grantees’ supply chain policies and procedures to identify gaps.
- Support capacity-building plans and ensure adherence to procurement procedures.
8. Systems Development & Implementation
- Collect and communicate data that can improve supply chain systems.
- Ensure procurement operational requirements are incorporated into system developments and modifications.
9. Control & Compliance
- Conduct supplier pre-qualification and maintain appropriate records.
- Participate in identifying and assessing procurement and contractual risks.
- Maintain proper procurement records and filing systems.
- Coordinate with requestors to close outstanding Purchase Orders.
- Support implementation of audit recommendations.
- Review procurement internal controls for Partners/Sub-Grantees.
- Monitor implementation of recommendations and report progress to management.
- Ensure procurement risks are identified and appropriate mitigation measures are implemented.
10. Leadership & Coaching
- Manage the performance of direct reports through reviews, coaching, and regular feedback.
- Ensure Supply Chain staff understand procurement policies, processes, and systems.
- Coordinate departmental meetings and provide progress updates to Senior Management.
- Ensure direct reports understand their deliverables and take corrective action where necessary.
11. Training & Capacity Building
- Coordinate and participate in training Supply Chain and other World Vision staff on procurement policies, processes, and systems.
- Conduct capacity assessments for Partners/Sub-Grantees.
- Develop and implement capacity-building plans.
- Train Partners/Sub-Grantees and monitor progress.
- Ensure staff and partners understand World Vision procurement policies and guidelines.
Minimum Requirements
Education
- University Degree in:
- Business Administration
- Procurement
- A similar relevant field
OR
- Equivalent experience with a minimum of CIPS Level 4.
Experience
- Minimum 3 years’ experience in Procurement or Supply Chain.
